💡 Accountant's Note

Customer credits for complaints reduce recognized revenue. The credit balance is a liability until applied against a future invoice or refunded in cash. Tracking refunds by category helps identify systemic billing issues.

Practitioner & Systems Framework

💻 ERP Architecture

Complaint resolution credits are issued through the CRM system, which routes to the CBS for credit application. The credit reduces the customer's outstanding balance and creates a credit balance if it exceeds the current invoice. The revenue reversal is posted to the CBS and flows to the GL. Credits are categorised by complaint type (billing error, service quality, goodwill) to enable root cause analysis. The customer care system tracks resolution times and credit volumes by complaint category as operational KPIs.

⚠️ Audit Flags

Auditors analyse complaint credits by category to identify systemic billing errors — high volumes of credits for a specific charge type indicate a billing system error requiring a broader correction. Test approval of material credits. Review the liability balance representing unspent credits — aged credit balances that customers have not spent may eventually be recognised as breakage revenue (under IFRS 15 if the customer has no right to a cash refund). Confirm that cash refunds processed are consistent with the credit balance on the customer's account.
