Title IV Refund (Return of Federal Aid)

Returning unearned federal financial aid to the government after a student withdraws.

💡 Accountant's Note

Federal law requires schools to return a portion of a student's aid if they do not complete the term. This reduces the school's cash and its deferred revenue.

Practitioner & Systems Framework

💻 ERP Architecture

The R2T4 (Return of Title IV Funds) calculation is performed by the financial aid office within 30 days of determining a student's withdrawal date. Many SIS platforms have an R2T4 calculation module (e.g., Ellucian Banner Financial Aid, PowerFAIDS). The calculation determines the percentage of aid earned based on the percentage of the payment period completed. The unearned portion must be returned to the federal program within 45 days of the determination. The return reduces the deferred tuition liability (since the tuition obligation is also reversed) and reduces cash.

⚠️ Audit Flags

Auditors test R2T4 calculations for a sample of withdrawn students to confirm accuracy — this is a high-risk area for federal compliance audits (Single Audit). Verify that returns are made within the 45-day deadline. Confirm that the withdrawal date used in the calculation is the actual last date of attendance, not the date the student notified the institution. Review the institution's refund policy to confirm it does not conflict with R2T4 requirements.

📄 Required Documentation

R2T4 calculation worksheet per withdrawn student, official withdrawal date confirmation from the registrar, return of funds confirmation (electronic drawdown reversal or cheque), financial aid office tracking log for R2T4 timelines, and Single Audit findings for any prior R2T4 non-compliance.
