The initial billing run is executed in the student accounts module at the start of each semester. The SIS generates a charge for each enrolled student based on their credit hours, programme, and applicable fee schedule. The posting creates a student accounts receivable sub-ledger entry per student and a corresponding deferred tuition revenue credit. Billing statements are generated and distributed to students automatically. Scholarship and financial aid credits are applied simultaneously to reduce the net receivable.

⚠️ Audit Flags

Auditors reconcile the total billing to the enrolment report — each enrolled student should have a corresponding receivable. Test that billing rates match the approved fee schedule for the academic year. Confirm that deferred revenue equals total billings less any amounts already recognised. Review cut-off around the semester start date to ensure billings are not recorded in the prior period.
