💡 Accountant's Note
Schools often collect fees for 4–6 months upfront. To follow the matching principle, you only recognize 1/4th or 1/6th of that money as revenue each month.
Practitioner & Systems Framework
💻 ERP Architecture
Monthly revenue recognition is handled by the student information system (SIS) or ERP (e.g., Ellucian Banner, Oracle Student, SAP S/4HANA for Education). The system schedules automatic revenue recognition journals at month-end, releasing the deferred tuition liability proportionally over the semester weeks or months. The recognition schedule is set up at enrolment and runs without manual intervention. Finance staff verify the release against the in-force enrolment count each month.
⚠️ Audit Flags
Auditors confirm that the recognition rate matches the actual teaching period — a 16-week semester should release 1/16th per week (or 1/4 per month if monthly). Test that withdrawn students' deferred balances have been reversed rather than continuing to release to revenue. Confirm the deferred tuition liability balance at year-end agrees to the SIS enrolment schedule for courses spanning the year-end date.
📄 Required Documentation
