Revenue is recognised over the rental period (or at the event date for single-day events). Deposits collected in advance are deferred until the event occurs. The facilities department tracks all bookings, invoices clients, and manages the ancillary costs (catering, AV, security, housekeeping) on a separate auxiliary cost centre. Tax implications should be assessed — unrelated business income (UBI) may be taxable for not-for-profit institutions.

Auditors confirm that advance deposits are properly deferred and not recognised as revenue before the event. For tax-exempt institutions, assess whether conference and venue rental income constitutes unrelated business taxable income (UBTI) — regularly carried on activities that are not substantially related to the institution's exempt purpose may be taxable. Test that rental rates are consistently applied and documented. Verify that revenue and expenses for the conference programme are matched in the same period.
