Student withdrawals are processed in the SIS by the registrar's office. The system calculates the refund amount based on the institution's published refund schedule (e.g., 100% in week 1, 75% in week 2, 50% in week 3, 0% after week 4). The SIS automatically reverses the proportionate deferred revenue and generates a credit on the student's account. If the student has a credit balance, a refund is issued via bank transfer or cheque through the AP module. For federally funded students, the Title IV return calculation must also be performed.
⚠️ Audit Flags
Auditors confirm that refunds are calculated in accordance with the published refund policy and, for US institutions, the federal Return of Title IV Funds (R2T4) rules. Verify that refunds are paid within the regulatory timeframe (14 days under US federal rules). Test that both the deferred revenue reversal and the cash refund are posted in the same period. Confirm that any scholarship awards on the withdrawn student's account are also reversed appropriately.
