💻 ERP Architecture

Library fines and lab breakage charges are assessed directly in the SIS or library management system (LMS) and posted to the student's account. Library fines accumulate per item per day until the item is returned or the maximum fine cap is reached. Lab breakage charges are assessed by the lab supervisor and entered into the SIS. Students with outstanding fines may have holds placed on their account (blocking transcript requests, enrolment). The SIS produces a fines receivable aging report for credit control.

⚠️ Audit Flags

Auditors assess the collectability of fine receivables — students who have graduated or withdrawn without paying fines may be uncollectable. Confirm that a provision for uncollectable fines is included in the allowance for doubtful student accounts. Verify that fine revenue is not material enough to require deferral — fines are generally recognised immediately as they relate to a past event (the damage or late return). Test that fine write-offs are properly authorised.
