Institutional loans are originated in the student financial aid module of the SIS with a signed promissory note from the student. The disbursement credit is applied directly to the student's tuition account (clearing the receivable). The loan is tracked in a student loans receivable sub-ledger with the student's ID, loan amount, interest rate, and repayment schedule. Interest accrues monthly and is posted to investment income. The loans receivable is classified as a long-term asset (or current if repayment begins within 12 months). An allowance for loan losses is estimated at year-end.

Auditors confirm that promissory notes are signed and on file for each institutional loan. Test the interest accrual calculation. Assess the collectability of the loan portfolio — loans to students who have withdrawn or are in financial difficulty require specific provision. Verify that institutional loans are not made from federally restricted funds (Perkins Loan programme funds have specific use restrictions). Confirm that the loan terms (interest rate, repayment schedule) comply with any applicable lending regulations.
