Incidental fees are configured as fee codes in the SIS and charged to student accounts when triggered by a specific event — a lab enrolment, a graduation application, or a diploma issuance. The SIS automatically charges the fee when the triggering event is recorded (e.g., the registrar marks a student as a graduation candidate). Revenue is recognised immediately for fees tied to a point-in-time service. Fees for multi-session lab courses may be deferred and released over the course period.

Auditors confirm that the revenue recognition timing is appropriate — point-in-time fees (graduation ceremony, diploma) are recognised immediately; period fees (lab access for a semester) should be deferred and recognised over the period. Test that fees are charged at the approved rate from the institutional fee schedule. Verify that students who withdraw before graduation are refunded graduation fees charged in advance.
