💡 Accountant's Note

To follow the matching principle, the cost of a sabbatical should be spread over the years of service that earned it, rather than hitting the budget all at once.

Practitioner & Systems Framework

💻 ERP Architecture

Sabbatical accruals are calculated in the HR module based on the number of eligible faculty members and their years of service relative to the sabbatical eligibility cycle (typically every 6–7 years of service). The monthly accrual (1/N of the expected sabbatical salary cost) is posted automatically. When a professor goes on sabbatical, the accrued liability is drawn down against the actual salary paid during the leave. The HR module maintains the sabbatical eligibility tracker per faculty member.

⚠️ Audit Flags

Auditors assess the completeness of the sabbatical liability — all faculty within their eligibility window should be included. Test the accrual rate against the faculty member's current salary (the rate should reflect the expected future salary cost, not the historical cost). Confirm that the liability is reduced when sabbaticals are taken and that any faculty who leave before taking sabbatical have their accrual reversed. For IAS 19 purposes, extended sabbatical benefits may qualify as other long-term employee benefits requiring actuarial valuation.

📄 Required Documentation

Faculty sabbatical policy, eligibility tracker per faculty member (years of service, last sabbatical date), accrual calculation schedule, sabbatical leave records (dates, salary paid), reversal entries for faculty who forfeited sabbatical rights, and IAS 19 assessment for materiality.
