💻 ERP Architecture
Housing revenue recognition is managed in the housing management module of the SIS or a dedicated property management system linked to the ERP. Room and board fees are billed at the semester start and deferred in full. Monthly recognition journals are automated, releasing 1/N of the semester fee each month (where N is the number of months in the housing contract). Vacated rooms (student withdrawals or early departures) trigger a recalculation of the earned and unearned amounts. Housing is typically tracked as an auxiliary enterprise with a separate cost centre.
⚠️ Audit Flags
Auditors reconcile the deferred housing balance to the occupancy register at the reporting date — each occupied room should have a proportionate deferred balance. Verify that students who have left the dormitory are not continuing to generate revenue recognition entries. Confirm the housing revenue is presented separately from academic tuition in the financial statements (auxiliary enterprise classification). Test that housing refunds for early departures match the housing contract terms.
