Tuition Instalment — Subsequent Monthly Payment
Recording the second and subsequent monthly instalment payments from a student on a payment plan.
| Account Name | Type | Debit ($) | Credit ($) |
|---|---|---|---|
| Cash in Bank | Asset (+) | 833.00 | - |
| Student Accounts Receivable | Asset (-) | - | 833.00 |
💡 Accountant's Note
Each instalment reduces the outstanding receivable. If a student misses a payment, the institution may charge a late fee or suspend enrolment per its credit policy.
Practitioner & Systems Framework
💻 ERP Architecture
Subsequent instalment receipts are processed identically to the first payment — cash receipt clears the receivable. The SIS tracks the running balance of each student's payment plan, flagging missed instalments automatically. Many institutions use direct debit (auto-pay) for instalment plans, with the SIS initiating the debit on the due date. Failed direct debits are reported to the student accounts team for follow-up. The SIS credit control module applies account holds after a specified number of missed payments, blocking grade release, course registration, and transcript issuance.
⚠️ Audit Flags
Auditors review the instalment plan portfolio for the proportion of students who have missed one or more payments — this is a leading indicator of bad debt risk. Test that account holds are consistently applied per the credit control policy. Verify that any students who have been placed on academic hold due to non-payment are not continuing to accrue tuition receivable for new semesters without collection of prior balances. Confirm that direct debit returns are properly recorded and communicated to students.
📄 Required Documentation
Instalment payment history per student, direct debit batch report and failed debit log, account hold application records for missed payments, student accounts receivable aging at each instalment due date, and credit control action log for overdue instalment accounts.
