Tuition Instalment Plan — First Payment
A student enrolls in a payment plan and pays the first instalment at the start of semester.
| Account Name | Type | Debit ($) | Credit ($) |
|---|---|---|---|
| Cash in Bank | Asset (+) | 833.00 | - |
| Student Accounts Receivable | Asset (-) | - | 833.00 |
💡 Accountant's Note
Instalment plans split the tuition receivable into monthly payments. The full semester tuition was billed and deferred at enrolment; each payment reduces the receivable as cash is collected.
Practitioner & Systems Framework
💻 ERP Architecture
Instalment plans are configured in the SIS billing module with the total semester tuition split into equal monthly payments. The full tuition is billed and deferred at enrolment; subsequent instalment receipts simply reduce the receivable. Many institutions charge an instalment plan enrolment fee to cover the administrative cost. Payment plan agreements are signed by the student and held on file. Automated reminders are sent before each instalment due date via the SIS communication module. Missed instalments may trigger a late fee and an account hold.
⚠️ Audit Flags
Auditors confirm that instalment plan agreements are signed and on file. Test that the total instalment schedule matches the billed tuition amount — no instalment plan should result in less than the full tuition being collected. Assess the adequacy of the allowance for doubtful accounts for instalment plans — students on payment plans statistically have higher default rates than upfront payers. Verify that late fees for missed instalments are correctly posted to fee revenue.
📄 Required Documentation
Signed instalment plan agreement, SIS billing schedule showing all instalments, first payment receipt and bank confirmation, instalment plan enrolment fee (if applicable), automated payment reminder records, and late fee posting for missed instalments.
