💡 Accountant's Note

Sports facility fees are auxiliary revenue recognized over the semester. They fund the operating costs of the gym, courts, and sports fields.

Practitioner & Systems Framework

💻 ERP Architecture

Gym membership fees are collected at the start of the semester via the SIS or a dedicated sports facility booking system. If the fee covers the full semester, a deferral entry is required with monthly recognition over the semester period. If recognised immediately (for unlimited access passes where access is granted at point of sale), the revenue posting is direct. The sports facility operates as an auxiliary cost centre, and its revenue should cover the direct costs of staffing, maintenance, and utilities attributable to the sports programme.

⚠️ Audit Flags

Auditors confirm the correct recognition period — semester-long access fees should be deferred and released over the semester, not recognised upfront. Test that refunds are processed for students who withdraw and no longer have access. Verify that the sports auxiliary cost centre is financially self-sustaining or that any deficit is tracked and approved by management. For facilities open to external (non-student) members, confirm that commercial revenue is separately identified and assessed for VAT/sales tax.

📄 Required Documentation

Membership fee schedule, SIS or sports system billing records, deferral schedule (if semester-based), refund policy for early withdrawals, sports auxiliary cost centre financial statements, and external membership income records.
