💡 Accountant's Note
Research consumables are expensed immediately when purchased since they are used up in the research process. They are a direct grant expenditure.

Consumable purchases are processed through the purchasing and AP module with the grant project code as the cost object. The purchase order is raised against the grant budget, and the system checks the available balance before the order is approved (budget control). On receipt and invoice matching, the expense is posted to the research consumables account on the grant. For high-value or controlled substances, the purchasing module may require additional approvals or regulatory compliance confirmation (e.g., hazardous materials handling authorisation).
⚠️ Audit Flags
Auditors test that consumables charged to grants are allowable (per the grant agreement's cost principles), allocable (genuinely used on the specific project), and reasonable in amount. Test-check a sample of consumable purchases to lab notebooks or research records to confirm they were used on the grant project. For grants nearing their end date, scrutinise consumable purchases for evidence of 'stockpiling' — buying items to spend the budget rather than for genuine research need. Confirm that controlled substance purchases comply with regulatory requirements.
