Laboratory equipment is capitalised in the fixed asset module under the lab equipment asset class, with a longer useful life than IT equipment (10–15 years for instruments, spectrometers, centrifuges, etc.). Each piece is tagged with a unique asset ID and recorded against the specific laboratory location. For grant-funded equipment, the grant source is linked to the asset record. Maintenance contracts are tracked separately as prepaid expenses. Some institutions record laboratory equipment at replacement cost if it is revalued periodically.

Auditors confirm that the useful life assigned to specialist laboratory equipment reflects the actual expected service life — equipment subject to heavy use or rapid technological obsolescence should have a shorter life. Test the physical presence of high-value equipment at year-end. For grant-funded equipment, confirm federal property management compliance (if applicable). Assess whether any laboratory equipment has become obsolete or is no longer in service and should be written down or written off.
