Faculty payroll is processed monthly through the HR/payroll system (SAP HR, Oracle HCM, or a dedicated payroll platform). The payroll module calculates gross salary, income tax withholding, SSC deductions, and any other deductions (pension, loan repayments). The net pay journal is posted to the GL with gross salaries expensed to the academic staff salaries account and deductions posted to their respective payable accounts. Faculty are allocated to academic department cost centres to enable per-department cost reporting. For IFRS 17 equivalent purposes in education, IFRS 17 does not apply — but programme-level cost allocation may be required for regulatory reporting.
⚠️ Audit Flags
Auditors perform payroll testing by agreeing a sample of employee records (salary rates, bank details) to HR files and checking for changes in the period. Test that leavers' final pay calculations are correct and that no salary is paid to employees after their termination date. Confirm that casual and visiting staff paid through payroll are eligible for payment (work permits, contracts). Reconcile the total payroll expense to the payroll register and the GL.
