💡 Accountant's Note
Classroom technology is a fixed asset capitalized at cost and depreciated over its useful life (typically 3-5 years for electronics). Regular replacement is a significant capital commitment for schools.
Practitioner & Systems Framework
💻 ERP Architecture
Classroom equipment is capitalised in the fixed asset module when the individual item (or group of similar items acquired together) exceeds the institution's capitalisation threshold (e.g., JOD 500 per item). Items below the threshold are expensed immediately. Each asset is tagged with a unique asset number and recorded against a classroom or department location in the asset register. Depreciation is calculated automatically using the straight-line method over the configured useful life. Annual physical verification of classroom equipment is conducted by the IT/facilities team.
⚠️ Audit Flags
Auditors test that the capitalisation threshold is consistently applied — small items must not be capitalised to inflate the asset base. Verify that useful lives for classroom electronics are realistic (3–5 years for interactive displays and projectors). Conduct or review the physical asset verification to confirm equipment is present and in use. Confirm that disposed or stolen equipment is promptly removed from the register and any insurance claims are filed.
📄 Required Documentation
Purchase invoices, capitalisation threshold policy, asset register entries with location and useful life, annual physical verification report, disposal and write-off records, and insurance claim documentation for stolen/damaged items.
