Vehicle purchases are capitalised in the vehicles asset class and tagged with the vehicle registration number. Depreciation is calculated straight-line over the useful life (5–8 years). Where the vehicle is financed through an instalment loan, the loan is recorded as a liability (or assessed under IFRS 16 if it is a lease). The loan principal repayments and interest are tracked separately in the debt management module. Vehicle running costs (fuel, insurance, servicing) are expensed monthly. The institution must maintain roadworthiness certificates and insurance coverage for all campus vehicles.
⚠️ Audit Flags
Auditors confirm that all campus vehicles are on the asset register and that the register agrees to the physical fleet list maintained by the transport/facilities office. Test that vehicle insurance is current and adequate. For instalment-financed vehicles, confirm the IFRS 16 assessment — a hire-purchase arrangement is typically a finance lease, creating both a right-of-use asset and a lease liability. Verify that vehicles are not used for private purposes by staff without an appropriate charge or taxable benefit recognition.
