Print credit systems (e.g., PaperCut, Pharos) track each student's balance and deduct credits per page printed. When a page is printed, the system records a consumption event and a revenue recognition trigger is sent to the GL. The print credit liability balance is reduced per transaction. At term end, the institution's policy on unused credits (rollover, forfeit, or refund) determines the accounting treatment — forfeited balances are recognised as revenue; rollovers remain as liabilities; refunds reduce cash.

⚠️ Audit Flags

Auditors reconcile the print credit liability balance to the print management system's outstanding balance report. Test the completeness of revenue recognition — every print transaction in the system should have a corresponding liability deduction and revenue entry. Confirm the policy on unused credits and that it is disclosed to students. Assess whether the forfeit of unused print credits constitutes a material revenue stream requiring separate disclosure.
