Cash Vault Overage — Count Exceeds Ledger
Recording an overage discovered during a cash vault count where physical cash exceeds the ledger balance.
| Account Name | Type | Debit ($) | Credit ($) |
|---|---|---|---|
| Cash / Vault | Asset (+) | 500.00 | - |
| Cash Differences — Overage (Liability) | Liability (+) | - | 500.00 |
💡 Accountant's Note
Cash overages are suspicious — they may indicate unrecorded deposits, counting errors, or (rarely) theft attempts. The overage is initially recorded as a liability pending investigation. After investigation, it is either matched to an unrecorded transaction or transferred to Other Income.
Practitioner & Systems Framework
💻 ERP Architecture
Cash vault counts are performed daily by tellers and confirmed by vault custodians. Overages are entered in the teller system and post to the Cash Differences account automatically. Unresolved differences after 5 business days are escalated to Branch Management and Internal Audit.
⚠️ Audit Flags
Auditors perform surprise cash counts to verify teller drawer and vault balances. Any unresolved cash differences older than 10 days are a finding. A pattern of regular small overages may indicate split transactions or undisclosed customer deposits.
📄 Required Documentation
Cash count sheet (signed by teller and vault custodian), branch manager investigation report, and resolution documentation (matched to transaction or transferred to Other Income).
