Each month, the performance obligation (being available and providing services on-call) is satisfied. The deferred liability decreases and revenue is recognized. Unused retainer hours do not roll over unless the contract explicitly allows it.

This should be a recurring automated journal entry set up in the ERP at the start of the retainer contract — configure it to run on the same date each month (e.g., last day of month) for the duration of the contract term. The release amount is fixed (total retainer ÷ contract months) unless the retainer fee changes mid-term due to a price escalation clause or contract amendment. For retainers that include variable usage components (additional hours above the monthly bank billed at premium rates), the fixed monthly release covers the stand-ready obligation and the variable component is recognized separately as hours are consumed above the bank.

(1) Automation reliability — is the recurring journal actually running every month? Year-end deferred revenue balances should be exactly equal to: annual retainer × remaining months ÷ 12. Any deviation indicates a missed release or incorrect amount. (2) Contract renewal — when a retainer is renewed at a new rate, is the deferred balance and future release amount updated from the renewal date? (3) Partial month treatment — for retainers commencing or terminating mid-month, is the revenue release prorated for the partial period?
