Practitioner & Systems Framework

💻 ERP Architecture

Set up the PII premium as a prepaid asset in the ERP with an automatic straight-line amortization schedule across 12 months from the policy commencement date. The amortization journal (Dr Insurance Expense / Cr Prepaid Insurance) should be a recurring automated entry. If the policy year does not align with the financial year, the prepaid balance at period-end will represent the unexpired coverage days — ensure the amortization module is configured to match policy dates, not calendar months. For firms with multiple jurisdictions or practice areas, separate PII policies may apply (e.g., a separate run-off policy for a retired partner's past work), each requiring its own prepaid schedule.

⚠️ Audit Flags

(1) Policy renewal confirmation — auditors verify that PII is current and covers the firm's actual revenue levels and practice areas. Gaps in coverage are a going-concern indicator for regulated professionals. (2) Claims-made vs. occurrence policies — a claims-made policy must be active at the time a claim is filed, not just when the work was done. Run-off coverage for prior years must be separately tracked and prepaid. (3) Coverage limits vs. largest client engagement — if the firm has taken on an engagement that could exceed the policy limit, this is a contingent liability requiring IAS 37 disclosure.
