Professional Indemnity Insurance — Monthly Amortization
Releasing one month of the prepaid PII premium to the income statement.
| Account Name | Type | Debit ($) | Credit ($) |
|---|---|---|---|
| Professional Indemnity Insurance Expense | Expense (+) | 400.00 | - |
| Prepaid PII | Asset (−) | - | 400.00 |
💡 Accountant's Note
Each month, JOD 400 of the annual PII premium is recognized as an expense. This matches the cost to the period the coverage protects, regardless of the upfront payment date.
Practitioner & Systems Framework
💻 ERP Architecture
This is a recurring automated journal that should be configured in the ERP to run at the end of each month for the 12-month policy duration. Verify that the automation terminates after the final month of the policy — continuing to amortize beyond the policy end date would be an error. When the policy is renewed, set up a new prepaid record and amortization schedule for the renewal period; do not continue amortizing the prior year's prepaid into the new policy year. For monthly reporting, the PII expense line should show a consistent amount each month — any variance (other than the final stub period) should trigger an investigation.
⚠️ Audit Flags
(1) Automation confirmation — is the recurring journal reliably executing each month? Missed periods result in an understated expense and an overstated prepaid asset. (2) Policy period alignment — confirm that the last amortization entry corresponds with the last day of the policy coverage. (3) Premium refund — if the policy is cancelled mid-year (extremely rare for required professional coverage), a refund of the unexpired premium should reverse the remaining prepaid balance.
