💡 Accountant's Note
If the engagement contract allows for full refund on cancellation with no work done, the entire advance is refunded. The liability is cleared. If some work was performed, revenue for services rendered is recognized first and the remainder is refunded.

Before processing the refund, confirm the outstanding advance balance in the contract liability account matches the refund amount. If any work was performed before cancellation (even minimal scoping or setup work), the engagement partner must assess and document: (a) what services were delivered, (b) what the standalone value of those services is, (c) how much of the advance to retain as revenue. Only the excess over the earned portion is refunded. The refund must be processed within any contractually specified timeframe — late refunds may accrue interest under the contract terms. Record the cancellation decision with a reference to the cancellation notice received from the client.
⚠️ Audit Flags
(1) Revenue earned before cancellation — was any work performed that should be recognized as revenue before processing the refund? Refunding the full advance without recognizing earned services understates revenue. (2) Cancellation fee provisions — does the engagement letter contain a cancellation fee or early termination charge that the firm is entitled to retain? If so, only refund the advance net of the cancellation fee and recognize the fee as revenue. (3) Refund authorization — is the refund authorized by the managing partner, and does it comply with the contractual terms? Unauthorized refunds may represent a compliance or fraud risk.
