Practitioner & Systems Framework
💻 ERP Architecture
3PL storage billing is typically based on: (a) pallet positions occupied × daily or monthly rate per pallet; or (b) square footage occupied × rate per sqm per month; or (c) a minimum monthly commitment with an overage rate. Generate the billing from the Warehouse Management System (WMS) which tracks daily pallet occupancy per client. Under IFRS 15, storage is a performance obligation satisfied over time — recognize ratably over the month as storage is provided. Issue invoices on the first working day of the following month based on the prior month's occupancy data. Maintain a storage billing sub-ledger by client and SKU for dispute resolution.
⚠️ Audit Flags
Auditors reconcile storage revenue to the WMS occupancy reports. Any revenue billed for space not actually occupied is a misstatement. For clients on minimum-commitment contracts, the minimum charge is recognized regardless of actual occupancy — confirm the minimum is contractually owed. For clients exceeding the minimum, the overage calculation must match the WMS data. Storage revenue recognized before the billing period ends is premature (accrual must be based on actual occupancy, not forecasted).
📄 Required Documentation
3PL warehouse services agreement (rate schedule, minimum commitment, billing basis), WMS daily pallet occupancy report, monthly billing calculation (occupancy × rate), client invoice, storage revenue reconciliation to WMS, and client dispute resolution log.
