Monitor the Prepaid Fuel balance relative to recent weekly fuel consumption — an excessively large balance relative to usage suggests over-funding the cards (tying up cash unnecessarily). Run a monthly fuel card reconciliation: opening balance + top-ups − fuel consumed = closing balance per card. Compare to the fuel card provider's statement.
⚠️ Audit Flags
Auditors reconcile the Prepaid Fuel asset balance to the fuel card provider's account statement at period-end. Any discrepancy between the card balance and the ERP balance indicates either a missing top-up posting, an unposted fuel draw, or a card fraud event. Fuel card fraud (skimming, unauthorized use, fuel sold by drivers) is a significant risk — the card statement should be reviewed transaction-by-transaction monthly to confirm each fill matches a vehicle and driver on duty.
