How to Post a Restaurant Meal Charged to a Guest's Room Folio

Recording an F&B sale where the guest charges their meal to their room instead of paying cash at the restaurant.

Account NameTypeDebit ($)Credit ($)
Guest Ledger (Receivable)Asset (+)55.00-
F&B Revenue: RestaurantRevenue (+)-50.00
Service Charge PayableLiability (+)-5.00

💡 Accountant's Note

This moves the transaction from the Restaurant POS to the Front Office system. The service charge is a liability because it must be distributed to staff.

Practitioner & Systems Framework

💻 ERP Architecture

Room charges from the restaurant are posted through the POS-to-PMS interface, debiting the Guest Ledger and crediting F&B Revenue. The 10% service charge (mandatory in Jordan) is posted as a separate liability — not as F&B revenue — because it belongs to the service staff, not the hotel (see hospitality-service-charge-distribution). This ensures F&B Revenue accurately reflects food and beverage sales without the staff service charge inflating the F&B top line.

⚠️ Audit Flags

Auditors check that the F&B revenue from room charges ties to the restaurant POS daily close and the PMS interface posting log. Discrepancies indicate either POS data loss or interface failures. The Service Charge Payable balance must be reconciled monthly to confirm it represents uncollected service charges not yet distributed to staff.

📄 Required Documentation

Restaurant POS transaction record, PMS room charge posting confirmation, F&B Revenue and Service Charge split, Service Charge Payable sub-ledger (balance represents undistributed service charges), monthly POS-to-PMS reconciliation, and interface error log.
