In the hotel Property Management System (PMS), advance deposits are posted to a Deposit Bucket on the guest reservation, creating a credit balance that offsets future room charges at check-in. In the accounting system, the credit sits in Guest Ledger: Advance Deposits (a current liability) until the guest arrives. At check-in, the deposit is automatically applied against the first night's room charge. Maintain a deposits aging report — deposits for future reservations should not appear in aged receivables. For OTA pre-paid bookings, the deposit mechanism may differ (see hospitality-ota-merchant-model-gross).
⚠️ Audit Flags
Auditors confirm that advance deposits are not recognized as revenue before the stay. A Guest Ledger balance that has not moved in 90+ days (no check-in) requires investigation — the stay may have been cancelled (requiring refund or forfeiture recognition). Under IFRS 15, the advance deposit creates a contract liability; revenue is recognized as each night of accommodation is delivered.
