Practitioner & Systems Framework
💻 ERP Architecture
Incidental charges originate in various department POS systems (spa, laundry, telephone, parking, gym, gift shop) and are routed to the front office system via a posting interface. Classify each incidental to the correct revenue department in the GL — do not lump all incidentals into Other Operating Revenue. Under USALI, each minor operated department has its own revenue line (Spa Revenue, Parking Revenue, Telecommunications, etc.). Track the incidental revenue per occupied room as a TrevPAR (Total Revenue per Available Room) component.
⚠️ Audit Flags
Auditors check that incidental postings are supported by POS transaction records — a folio charge without a corresponding POS entry is a ghost charge. Voids and adjustments to incidental charges must be authorized by a supervisor. The aggregate incidental revenue per department should reconcile to the POS daily close reports.
📄 Required Documentation
POS daily close reports per department (spa, laundry, parking, etc.), PMS folio charge interface log, department charge posting report, void and adjustment authorization records, USALI departmental revenue breakdown, and TrevPAR analysis.
