How to Record Meeting Room and Conference Hall Rental Revenue Under the MICE Department

Recognizing the pure space rental fee for a conference room or ballroom hire as MICE revenue.

💡 Accountant's Note

Unlike F&B, room rental has almost zero cost of goods sold. It is classified under 'Other Operated Departments' or a sub-category of Events in USALI.

Practitioner & Systems Framework

💻 ERP Architecture

Meeting room rental revenue is high-margin revenue — the marginal cost of renting a conference room is minimal (cleaning, utilities, setup) vs. the rental fee. Under USALI, event space rental is either classified as a separate Minor Operating Department ('Conference & Banquets') or under 'Other Operated Departments.' For accurate departmental profitability, combine meeting room rental with F&B catering (see hospitality-delegate-day-rate-split) when the booking includes both. Track Revenue Per Meeting Room (REVPAR for meetings) as a performance metric.

⚠️ Audit Flags

Auditors verify that space rental revenue is recognized on the event date (not at booking or deposit collection). BEOs serve as the supporting contract. If the event is cancelled, the deposit treatment depends on the cancellation policy (see hospitality-event-cancellation-income). Revenue from partial-day vs. full-day room hire must be correctly classified per the rate agreement.

📄 Required Documentation

Banquet Event Order (BEO) confirming space rental, signed by client, room rental invoice to client or City Ledger entry, event completion confirmation, MICE Revenue: Room Rental ledger, post-event client billing reconciliation, and Meeting Room Utilization Report (space revenue per room per day).
