💡 Accountant's Note

When a guest earns 'Points,' the individual hotel must pay a fee to the global brand's loyalty fund. This is a cost of guest acquisition.

Practitioner & Systems Framework

💻 ERP Architecture

The loyalty programme assessment is a per-stay fee charged by the brand when an enrolled member earns points. The rate varies by brand (typically 3–6% of eligible revenue). Calculate monthly based on the number of loyalty member stays and the applicable assessment rate. Classify under Marketing Expenses — Loyalty Program (not commission/distribution). The assessment goes to the brand's central loyalty fund which manages points redemption globally. The individual hotel also earns redemption reimbursement when a loyalty guest redeems points for a free stay (see hospitality-loyalty-redemption-revenue).

⚠️ Audit Flags

Auditors reconcile the loyalty assessment to the brand's loyalty invoice (monthly) and to the number of enrolled member stays in the PMS. Discrepancies between hotel-tracked loyalty stays and brand-invoiced amounts must be investigated — the brand's loyalty system is the authoritative source for invoicing. The loyalty cost must be presented gross (not netted against loyalty room revenue).

📄 Required Documentation

Franchise/management agreement (loyalty assessment rate, eligible revenue definition), monthly loyalty member stays report (from PMS or brand), assessment calculation, brand loyalty invoice, payment confirmation, Due to Brand / Loyalty Fund aging, and loyalty program ROI analysis (assessment cost vs. loyalty member ADR premium).
