How to Recognize No-Show Revenue When a Pre-Paid Guest Fails to Arrive
Converting a guest's advance deposit to earned revenue when they fail to arrive and the cancellation policy permits retention.
| Account Name | Type | Debit ($) | Credit ($) |
|---|---|---|---|
| Guest Ledger: Advance Deposits | Liability (-) | 150.00 | - |
| No-Show Revenue | Revenue (+) | - | 150.00 |
💡 Accountant's Note
This converts the guest's advance deposit into revenue because the cancellation policy allows the hotel to keep the funds.
Practitioner & Systems Framework
💻 ERP Architecture
No-show revenue is recognized only when: (a) the reservation was guaranteed (credit card, deposit, or pre-paid), (b) the guest did not arrive, and (c) the hotel's cancellation policy (agreed to by the guest at booking) permits retention. Process no-shows on the night audit of the arrival date. In the PMS, mark the reservation as No-Show and trigger the charge per the policy. Present No-Show Revenue separately from Room Revenue on the Daily Revenue Report — it is a variable revenue line that management monitors to assess overbooking strategy effectiveness.
⚠️ Audit Flags
Auditors verify that no-show revenue is recognized only for guaranteed reservations with a documented cancellation policy acceptance. Recognizing no-show fees on unreservations that had no deposit or credit card guarantee is unenforceable. OTA no-shows may have different rules — the OTA may absorb the cancellation fee rather than the hotel (check the specific OTA agreement). For OTA no-shows, commission reversal entries may also be required (see hospitality-ota-no-show-reversal).
📄 Required Documentation
Reservation record with guarantee type (credit card, deposit, pre-paid), cancellation policy at booking, PMS no-show status, no-show charge authorization, guest notification (if required by policy), OTA agreement (for OTA no-shows), commission reversal documentation, and no-show revenue daily report.
