GDS transaction fees are charged per completed booking (not per look-up) — typically USD 3–12 per reservation depending on the GDS and the hotel's contract. Track GDS fees separately from OTA commissions in the GL — they have different cost drivers (GDS fees are flat per booking; OTA commissions are % of revenue). Monthly GDS invoices are reconciled to the hotel's GDS booking report showing the number of reservations processed per GDS. Under USALI, GDS fees are classified in Rooms Distribution Costs.
⚠️ Audit Flags
Auditors reconcile GDS invoice amounts to the number of GDS bookings in the PMS. Fees billed for bookings that were later cancelled (without a cancellation refund credit from the GDS) require follow-up with the GDS. Compare GDS cost per booking to direct channel cost per booking — GDS is typically the highest cost channel and should be managed as part of distribution strategy.
