💡 Accountant's Note
This is a fixed operating cost. Under USALI, software specific to a department is charged to that department's 'Other Expenses' line.
Practitioner & Systems Framework
💻 ERP Architecture
Channel management software (SiteMinder, RateGain, Cloudbeds, etc.) is a subscription SaaS cost. Under USALI, technology costs directly attributable to the Rooms department are charged to the Rooms department Other Expenses. Annual subscriptions are prepaid and amortized monthly. Assess whether the channel manager qualifies as a lease under IFRS 16 (right to use a specified asset for a period) — most SaaS subscriptions do not qualify due to the lack of a specified underlying asset.
⚠️ Audit Flags
Auditors check that the subscription covers the period being expensed. For annual subscriptions paid upfront, the prepaid balance must be amortized correctly. Compare the subscription cost to the distribution revenue it generates — the channel manager cost should be measured against the booking value processed through it.
📄 Required Documentation
Channel manager subscription agreement, monthly or annual invoice, prepaid amortization schedule (if annual), IFRS 16 SaaS lease assessment, IT expense allocation to department (Rooms), and ROI analysis (subscription cost vs. bookings managed).
