How to Recognize Banquet Revenue When a Wedding or Conference Deposit is Earned on Event Day
Converting a previously collected banquet advance deposit into F&B Revenue on the day the event is successfully delivered.
| Account Name | Type | Debit ($) | Credit ($) |
|---|---|---|---|
| Advance Deposits (Banquet) | Liability (-) | 5,000.00 | - |
| F&B Revenue: Banquets | Revenue (+) | - | 5,000.00 |
💡 Accountant's Note
Banquet deposits are held as liabilities for months. On the day of the event, the revenue is finally earned.
Practitioner & Systems Framework
💻 ERP Architecture
Banquet deposits are collected months in advance as a commitment from the client. They sit in Advance Deposits (Banquet) as a current liability until the event occurs. On the event date, the performance obligation is satisfied — revenue is recognized by debiting the Advance Deposits liability and crediting F&B Revenue: Banquets. Any balance above the deposit (if the final invoice exceeds the deposit) creates a City Ledger receivable. Post-event gratuities and service charges are handled separately.
⚠️ Audit Flags
Auditors confirm the event actually took place before revenue recognition — banquet revenue recognized for events not yet delivered is a misstatement. The banquet events calendar and signed event orders (BEOs — Banquet Event Orders) are the supporting documents. Year-end Advance Deposits balances represent future events — auditors assess whether any deposits relate to cancelled events (requiring forfeiture income or refund recognition).
📄 Required Documentation
Banquet Event Order (BEO) signed by client, advance deposit receipt, event delivery confirmation (post-event sign-off by Event Manager), final banquet invoice (for additional amounts above deposit), Advance Deposits Payable clearance, F&B Revenue: Banquets entry, and cancellation policy (for deposits where events are cancelled).
