💡 Accountant's Note
Most aircraft leases require the lessee to pay monthly maintenance reserves to the lessor — these are notional deposits against the cost of scheduled heavy maintenance (engine overhauls, C-checks). If reserves are refundable upon qualifying maintenance events, they are recorded as assets (deposits). If non-refundable, they are expensed as maintenance cost accruals. The distinction is critical and depends on the lease terms.
Practitioner & Systems Framework
💻 ERP Architecture
Maintenance reserve accounting depends entirely on the lease agreement terms. Refundable reserves (most common in modern leases) are recorded as a financial asset — a deposit with the lessor. When a qualifying maintenance event occurs, the lessor reimburses the reserve (or applies it toward the overhaul cost), and the deposit is derecognised. Non-refundable reserves are expensed as incurred — they represent a pre-payment of future maintenance costs. Under IFRS 16, variable maintenance reserves are excluded from the lease liability calculation — they are not fixed lease payments.
⚠️ Audit Flags
Auditors obtain the lease agreements and determine the refundability of maintenance reserves for each aircraft. Test that refundable reserves are classified as assets (deposits), not expenses. Confirm the balance of maintenance reserve deposits with the lessor (direct confirmation). Review whether any reserves have been called or forfeited — forfeitures are an expense in the period. Test that the maintenance reserve deposit is assessed for impairment if the lessor's financial condition deteriorates.
📄 Required Documentation
Lease agreement maintenance reserve clause (refundable vs. non-refundable), maintenance reserve balance per aircraft and lessor, direct lessor confirmation of reserve balance, reserve call-back records when maintenance occurs, forfeit assessment (end-of-lease or early termination), and IFRS 16 classification (excluded from lease liability as variable payment).
