How to Record a New Monthly SaaS Subscription Paid in Cash
Recording a new customer signing up for a monthly plan and paying immediately, with same-period revenue recognition.
| Account Name | Type | Debit ($) | Credit ($) |
|---|---|---|---|
| Cash / Bank | Asset (+) | 99.00 | - |
| Subscription Revenue | Revenue (+) | - | 99.00 |
💡 Accountant's Note
Monthly subscriptions where the billing period equals one calendar month can be recognized immediately upon payment — there is no deferral because the service is delivered in the same period as the charge.
Practitioner & Systems Framework
💻 ERP Architecture
Monthly cash subscriptions are the simplest revenue event — the billing cycle and the service period are coterminous, so no deferral arises. Configure your billing system to recognize revenue immediately on collection for monthly plans. Ensure the customer's MRR is added to the New MRR cohort in your SaaS metrics dashboard the same day the subscription activates.
⚠️ Audit Flags
Even for monthly subscriptions, auditors check the revenue recognition date matches the service start date — if a customer pays on the 28th for a subscription that starts on the 1st of next month, a small deferral applies. Also verify that bank settlement timing (funds clearing) does not cause revenue to be recognized before cash is actually received.
📄 Required Documentation
Billing platform subscription activation record, payment confirmation, bank statement showing the deposit, and monthly MRR movement report.
