How to Record Revenue When a Free Trial User Converts to a Paid Subscription
Recognizing the first subscription revenue at the point the free trial ends and the customer is billed.
| Account Name | Type | Debit ($) | Credit ($) |
|---|---|---|---|
| Cash / Bank (via Stripe) | Asset (+) | 96.10 | - |
| Payment Processing Fees | Expense (+) | 2.90 | - |
| Subscription Revenue | Revenue (+) | - | 99.00 |
💡 Accountant's Note
No revenue is recorded during a free trial. Revenue recognition begins at the moment the first paid billing cycle starts and payment is collected.
Practitioner & Systems Framework
💻 ERP Architecture
Ensure your billing platform is configured so that free trial users do not generate any revenue entries in the ERP until their trial ends and the first charge successfully processes. A trial start ≠ revenue start. Track free trial starts, conversion events, and conversion rates in your CRM and SaaS metrics system. The converted customer should appear in the New MRR cohort in the month they first pay.
⚠️ Audit Flags
Auditors verify that zero revenue is recognized during the trial period. They may check for a gap between trial end date and first payment date — if there is a service period with no payment, assess whether revenue should be recognized for that gap (typically not, as free trials have no consideration). Confirm the conversion date is correctly linked to the revenue start date.
📄 Required Documentation
Billing platform trial start and conversion event log, first payment confirmation, MRR movement report showing the conversion, and customer account record showing trial-to-paid transition.
