How to Record a Store Credit Redemption on a Customer Purchase
Converting a store credit balance to earned revenue and recognizing COGS when a customer redeems their credit.
| Account Name | Type | Debit ($) | Credit ($) |
|---|---|---|---|
| Store Credit Liability | Liability (-) | 116.00 | - |
| Sales Revenue | Revenue (+) | - | 100.00 |
| VAT Output Tax Payable (16%) | Liability (+) | - | 16.00 |
| Cost of Goods Sold | Expense (+) | 55.00 | - |
| Merchandise Inventory | Asset (-) | - | 55.00 |
💡 Accountant's Note
When credit is redeemed, the liability converts to earned revenue and COGS is recognized. No cash changes hands — the transaction is settled through the credit balance.
Practitioner & Systems Framework
💻 ERP Architecture
At credit redemption, the POS or ERP must simultaneously: debit the Store Credit Liability, credit Sales Revenue and VAT, and post the COGS entry. The customer's store credit balance updates to zero (or the remaining balance for partial redemptions). The total sale value for VAT purposes is the full retail price of the goods received, even though payment was entirely non-cash.
⚠️ Audit Flags
Auditors verify that revenue recognized on credit redemption equals the retail price of goods sold — not the amount of credit used. If the credit balance covers more than the purchase price, the excess credit should remain in the liability, not be released to revenue. COGS must be recognized on the full value of goods regardless of payment method.
📄 Required Documentation
POS redemption transaction, Store Credit Liability updated sub-ledger balance, Sales Revenue and VAT output entries, COGS entry, and physical goods transfer confirmation.
