💡 Accountant's Note

A store credit is a liability — the store owes the customer merchandise or services. Revenue is reversed and the credit balance is held until the customer spends it.

Practitioner & Systems Framework

💻 ERP Architecture

Issue store credit via a unique credit note number linked to the customer's account. The Store Credit Liability sub-ledger tracks each customer's balance. When credit is redeemed for a new purchase, it converts to revenue. Set an expiry date for store credits (if policy allows) and track aging — credits outstanding more than 12 months may qualify for breakage income recognition.

⚠️ Audit Flags

See ret-return-store-credit-issued for the return-specific audit considerations. For standalone store credit issuances (e.g., as a promotion), the liability must be recognized until redeemed or expired. Auditors will reconcile the Store Credit Liability sub-ledger to the GL balance and test for aged balances that should be released to breakage income.

📄 Required Documentation

Store credit note (amount, customer, date, expiry if applicable), Store Credit Liability sub-ledger, redemption tracking, aging analysis, breakage income recognition schedule, and policy document governing credit expiry.
