How to Record Loyalty Points Redeemed Against a Retail Purchase
Converting the deferred loyalty points liability to earned revenue when a customer uses accumulated points.
| Account Name | Type | Debit ($) | Credit ($) |
|---|---|---|---|
| Cash in Hand | Asset (+) | 101.20 | - |
| Loyalty Points Liability | Liability (-) | 15.00 | - |
| Sales Revenue | Revenue (+) | - | 100.00 |
| VAT Output Tax Payable (16%) | Liability (+) | - | 16.20 |
💡 Accountant's Note
Redemption converts the deferred points liability into earned revenue. The customer pays the balance in cash and the transaction is closed.
Practitioner & Systems Framework
💻 ERP Architecture
The POS loyalty integration deducts points at redemption and the ERP simultaneously debits Loyalty Points Liability and credits Sales Revenue. The total sale value (points + cash) equals the full retail price. For VAT: confirm with your tax advisor whether points constitute monetary consideration — typically the full retail price is the VAT base regardless of how it is paid.
⚠️ Audit Flags
Auditors reconcile the Loyalty Points Liability roll-forward at year-end. Points redeemed should reduce the liability exactly by the redemption value. Any difference indicates unrecorded redemptions or posting errors. The revenue recognized on redemption must equal the value of points redeemed plus cash paid — not just the cash received.
📄 Required Documentation
Loyalty platform redemption report, Loyalty Points Liability roll-forward, Sales Revenue reconciliation including points-redeemed portion, VAT treatment memo for loyalty redemptions, and POS transaction record showing points deducted and cash received.
