How to Record Monthly Gross Payroll for All Restaurant Staff

Recording the total payroll expense for kitchen, floor, and management staff at month-end.

Account NameTypeDebit ($)Credit ($)
Salaries & Wages ExpenseExpense (+)8,000.00-
Salaries PayableLiability (+)-8,000.00

💡 Accountant's Note

The gross payroll is expensed in the month it is earned. The net amount paid to staff, after deductions for SSC and income tax, is a separate entry when cash leaves the bank.

Practitioner & Systems Framework

💻 ERP Architecture

Run the payroll in the payroll system (or a payroll spreadsheet for smaller operations) to determine gross pay, SSC deductions, income tax withholding, and net pay per employee. Post the gross salary to Salaries & Wages Expense and Salaries Payable. Process SSC, tax, and advance deductions in separate entries that reduce the Salaries Payable before the net cash payment. Maintain a payroll register signed by the owner/manager.

⚠️ Audit Flags

Auditors reconcile headcount on payroll to employment contracts and physical attendance records. Ghost employees (payroll for non-existent workers) are a known fraud risk in cash-heavy restaurant businesses. Social Security Corporation (SSC) submissions must match the payroll register — discrepancies trigger penalties and audits.

📄 Required Documentation

Payroll register (employee name, position, gross salary, deductions, net pay), employment contracts, attendance records, SSC registration for all employees, bank transfer records for net salary payments, and monthly payroll reconciliation.
