How to Record Loyalty Points Redeemed by a Customer Against Their Meal
Converting the deferred loyalty points liability to earned revenue when a customer redeems their points.
| Account Name | Type | Debit ($) | Credit ($) |
|---|---|---|---|
| Cash in Hand | Asset (+) | 46.40 | - |
| Loyalty Points Liability | Liability (-) | 10.00 | - |
| Food Sales Revenue | Revenue (+) | - | 48.62 |
| Sales Tax Payable (VAT) | Liability (+) | - | 7.78 |
💡 Accountant's Note
When points are redeemed, the deferred liability is converted to earned revenue. The remaining balance is collected in cash.
Practitioner & Systems Framework
💻 ERP Architecture
When a customer redeems points, the POS reduces the bill by the redemption value and the loyalty system deducts the points. The GL must simultaneously debit the Loyalty Points Liability (reducing the deferred balance) and credit Food Sales Revenue. VAT applies on the total meal value including the points portion — confirm with your tax advisor whether the points constitute monetary consideration for VAT purposes.
⚠️ Audit Flags
Auditors reconcile the Loyalty Points Liability roll-forward: opening balance + new points deferred − points redeemed − breakage = closing balance. Any unexplained movement indicates a system or posting error. VAT treatment of loyalty point redemptions is complex — ISTD may scrutinize whether VAT was properly assessed on the portion paid by points.
📄 Required Documentation
Loyalty system redemption report, Loyalty Points Liability roll-forward, Food Sales Revenue reconciliation showing points-redeemed portion, VAT treatment memo for loyalty redemptions, and POS transaction showing points deducted.
