How to Recognize Catering Event Revenue After the Event Is Delivered

Recognizing the full catering revenue, clearing the deposit liability, and billing the remaining balance upon event completion.

Account NameTypeDebit ($)Credit ($)
Advance from Customers (Catering)Liability (-)1,000.00-
Accounts ReceivableAsset (+)392.00-
Catering RevenueRevenue (+)-1,200.00
Sales Tax Payable (VAT)Liability (+)-192.00

💡 Accountant's Note

The deposit is cleared, the remaining balance is billed as a receivable, and the full revenue (net of VAT) is recognized on the event date.

Practitioner & Systems Framework

💻 ERP Architecture

Generate the final catering invoice on the event date showing: total contract value, less deposit paid, equals balance due. Post the full revenue to Catering Revenue and the full VAT to Sales Tax Payable on the event date. The remaining receivable should be collected within the credit terms agreed in the contract (typically 7–30 days for corporate clients).

⚠️ Audit Flags

Auditors verify the event completion date against the revenue recognition date. Evidence of completion includes: delivery notes, event photos, client sign-off, or post-event correspondence. Revenue recognized before the event (e.g., on deposit date) is incorrect. Also confirm that the VAT is calculated on the full contract value, not just the remaining balance after the deposit.

📄 Required Documentation

Final catering invoice, signed delivery/completion confirmation from the client, Accounts Receivable aging for the outstanding balance, VAT output reconciliation, and collection confirmation when the balance is paid.
