How to Record an End-of-Day Cash Drawer Shortage in a Restaurant
Posting a cash over/short expense when the physical cash in the till is less than the POS daily sales total.
| Account Name | Type | Debit ($) | Credit ($) |
|---|---|---|---|
| Cash Over and Short Expense | Expense (+) | 8.00 | - |
| Cash in Hand | Asset (-) | - | 8.00 |
💡 Accountant's Note
Small shortages are common in cash-heavy businesses and are expensed immediately. Large or recurring shortages should trigger an internal investigation.
Practitioner & Systems Framework
💻 ERP Architecture
Perform a cash count at the end of every shift (not just end of day in multi-shift restaurants). The cashier should sign the count sheet. Post the variance to Cash Over and Short — small random variances are normal; systematic shortages from the same cashier on every shift are a fraud indicator. Set an investigation threshold (e.g., any shortage above JOD 10 per shift requires a written explanation from the cashier).
⚠️ Audit Flags
Recurring cash shortages — especially from the same cashier or at the same time of day — are a strong indicator of till fraud. Auditors will review the cash shortage history by cashier to identify patterns. CCTV footage at the POS may be requested during a forensic investigation. Under Jordanian labor law, repeated documented shortages can justify disciplinary action or termination.
📄 Required Documentation
Daily cash count sheet (signed by cashier and manager), POS daily Z-report, Cash Over and Short ledger by cashier, investigation notes for shortages exceeding the threshold, and pattern analysis of shortages by cashier and time period.
