How to Reverse Accrued Rental Income When a Unit Becomes Vacant Mid-Month

Removing previously recognized rental income for the period after a tenant vacates unexpectedly.

💡 Accountant's Note

If a tenant vacates earlier than expected and rent cannot be collected for that period, any previously accrued income must be reversed to avoid overstating revenue.

Practitioner & Systems Framework

💻 ERP Architecture

Reverse the accrual in the period the vacancy is confirmed — when the tenant physically vacates and it is clear rent will not be collected for the remaining period. For tenants who vacate before their lease expiry, assess whether the remaining lease obligations create a recoverable receivable (if the tenant is in breach) or must be reversed (if the landlord waives the obligation). Update the occupancy schedule and vacancy tracker in the property management system.

⚠️ Audit Flags

Auditors check that accrued rental revenue is reversed promptly when vacancy occurs rather than being left on the balance sheet as an uncollectible asset. An aged Accrued Rental Revenue balance for vacant units is a misstatement. They also review whether the vacancy is covered by a rental guarantee (from a developer or guarantor) — if so, the guarantee claim replaces the tenant receivable.

📄 Required Documentation

Tenant vacancy notification or vacate date evidence, reversal journal entry dated to the vacancy date, updated occupancy schedule, rental guarantee assessment (if applicable), ECL assessment for any remaining tenant receivables, and property management system vacancy update.
