This pass-through recording is used when the property manager acts as principal (pays the contractor and is responsible for the work quality) — present gross expense and gross recovery revenue. If the manager acts purely as an agent (the owner contracts directly with the contractor and the manager only facilitates), record only the fee earned for arranging the work. Maintain owner approval records for all maintenance work above a pre-approved threshold — unauthorized recharges create disputes and potential bad debt exposure.

Auditors test the principal vs. agent classification for maintenance recharges under IFRS 15. If the manager always passes costs at zero margin with no risk, it may be acting as agent — presenting net (just the fee) may be more appropriate. For the principal presentation, verify that actual contractor invoices support the recharge and that no markup has been applied (unless the management agreement permits a markup).
