How to Record Monthly Refinery Operating Costs Including Energy, Catalysts, and Maintenance
Expensing monthly refinery operating costs (energy, catalysts, maintenance, labour) as production expenses flowing through WIP.
| Account Name | Type | Debit ($) | Credit ($) |
|---|---|---|---|
| Refinery Operating Expense (LOE) | Expense (+) | 12,000,000.00 | - |
| Cash / Accounts Payable | Asset/Liability (-) | - | 12,000,000.00 |
💡 Accountant's Note
Refinery operating costs are production expenses — they go through WIP inventory and are ultimately part of the cost of finished products. Energy (catalytic cracking, distillation) is typically the largest single cost.
Practitioner & Systems Framework
💻 ERP Architecture
Refinery operating costs are initially recorded as production expenses and then absorbed into the WIP cost pool — ultimately forming part of the cost of refined product inventory. Significant cost categories: energy (electricity, steam, fuel gas), catalyst replacement, chemical additives, maintenance and inspection, and direct labor. Calculate the unit processing cost per barrel of crude processed monthly and track vs. budget. The refinery's energy intensity (energy consumed per barrel processed, or Solomon complexity factor) is a key operational benchmark.
⚠️ Audit Flags
The boundary between routine maintenance (expensed) and major turnaround maintenance (capitalized — see og-turnaround-major-maintenance) is a key judgment area. Auditors review large maintenance invoices to confirm correct treatment. Catalyst replacement: if replacing a spent catalyst with an identical new catalyst (maintaining the status quo), expense; if replacing with an improved catalyst that increases capacity or efficiency, consider whether capitalization is appropriate.
📄 Required Documentation
Energy utility invoices and meter data, catalyst purchase invoices and spent catalyst disposal records, maintenance invoices (classified as routine vs. turnaround), payroll records for refinery direct labor, unit processing cost per barrel analysis, refinery operating budget vs. actual, and energy intensity benchmark data.
