How to Record the NGO's Own Cost-Share Matching Contribution Required by a Donor Grant
Recording both the expense and corresponding revenue for the NGO's mandatory matching contribution to satisfy grant conditions.
| Account Name | Type | Debit ($) | Credit ($) |
|---|---|---|---|
| Program Expense (Cost-Share) | Expense (+) | 20,000.00 | - |
| Cost-Share Revenue (Non-Cash Match) | Revenue (+) | - | 20,000.00 |
💡 Accountant's Note
When the NGO is required to contribute a matching amount, both the expense and a corresponding revenue entry are recorded. The net P&L effect is zero.
Practitioner & Systems Framework
💻 ERP Architecture
Track cost-share against the required match amount in a dedicated cost-share sub-ledger per grant. Eligible cost-share includes: cash expenses, in-kind contributions (goods, services, space), and volunteer time (at documented rates). Document in the same manner as other grant expenditures — donor's auditors will test cost-share claims. Record both entries to make the matching contribution visible in functional expense reporting.
⚠️ Audit Flags
Cost-share claims that cannot be documented are disallowed in the same way as direct costs. Auditors test whether cost-share is genuinely additional expenditure — double-counting costs already funded by another grant is not permitted. Volunteer time used as cost-share must be supported by signed time sheets.
📄 Required Documentation
Grant agreement specifying cost-share requirement, cost-share sub-ledger tracking actual vs. required match, documentation for each cost-share item, cost-share certification to donor in financial reports, and match rate compliance check.
